Refund and Cancellation Policy

Version 2.0 · Effective Date September 16, 2026

This Refund and Cancellation Policy ("Policy") applies to all purchases made on the Track Time Alerts platform ("Platform," "Service," "we," "us," or "our"), operated by Off Camber LLC. It is incorporated by reference into the Terms of Service, and capitalized terms used here have the meanings given there.

By purchasing Event Days, you acknowledge that you have read, understood, and agreed to this Policy.

1. Who This Policy Applies To

1.1 Organizations Pay; Drivers Do Not

Only Organizations pay for the Platform. Drivers and event participants are never charged by Off Camber, so nothing in this Policy gives a Driver a right to a refund from us. A Driver seeking a refund of an event entry fee must contact the Organization that ran the event. We do not collect, hold, or refund entry fees, instruction fees, or any other amount charged by an Organization or a venue.

1.2 What You Are Buying

You are buying Event Days on the Platform: the right to build, publish, and operate an event schedule and to broadcast Alerts to enrolled Drivers for a given calendar day of track activity. You are not buying a guaranteed event, guaranteed weather, or guaranteed message delivery.

2. Cancellation Before Your Event

2.1 More Than 48 Hours Before Start — Cash Refund or Credit

If you cancel an event more than 48 hours before its scheduled start time, you may choose either:

  • a cash refund of the fees paid for the cancelled Event Days, less payment processing fees and any non-recoverable third-party transaction costs (see Section 5.2); or
  • an Event Day credit for the full amount paid, with no deduction, applied to a future event (see Section 4).

2.2 Within 48 Hours of Start — Event Day Credit

If you cancel within 48 hours of the scheduled start time, cash refunds are not available, because the Event Days have been provisioned and the associated costs incurred. We will instead issue an Event Day credit for the unused Event Days, valid for 12 months (see Section 4).

2.3 Rescheduling Costs Nothing

If your event is postponed rather than cancelled, you do not need a refund or a credit. Change the event dates in the Platform, or contact support@tracktimealerts.com and we will move your paid Event Days to the new dates at no charge, provided the new dates fall within 12 months of the original dates. Rescheduling is the fastest and cleanest option and we encourage it.

2.4 How to Request

All cancellation, refund, and credit requests must be submitted in writing by email to support@tracktimealerts.com from an email address associated with the Organization's account. Requests made by phone, chat, social media, or any other channel will not be processed. Include the Organization name, event name, event dates, and the reason for the request.

Timing is measured from when we receive your email, against the scheduled start time of the event as entered in the Platform.

3. Weather and Other Cancellations Outside Anyone's Control

3.1 Rain-Outs and Force Majeure

Track events get cancelled for reasons nobody controls: weather, a track closure, an ambulance that never arrives, a sanctioning body pulling the event, a state of emergency. These cancellations almost always happen inside the 48-hour window — often the morning of — so a policy that only refunds outside 48 hours would give you nothing. That is not how we want to handle it.

If an event is cancelled, abandoned, or cut short because of weather or any other circumstance beyond the Organization's reasonable control, we will issue an Event Day credit for each Event Day that did not run, on request and with reasonable documentation (see Section 3.3). This applies even inside the 48-hour window and even after the event was scheduled to begin.

3.2 What Counts as a Day That Did Not Run

  • A day that was cancelled before any track activity began is credited in full.
  • On a multi-day event, each remaining day that is cancelled before it begins is credited in full.
  • A day on which track activity began and was then shortened, delayed, or ended early is not credited. Once the schedule is live and drivers are being alerted, the Event Day has been used.

3.3 Documentation

For a weather or force majeure credit, send us something that shows the event did not run: the Organization's cancellation notice to participants, a venue or sanctioning body announcement, a public posting, or similar. We are not looking to make this hard — one screenshot of the notice you sent your drivers is usually enough.

3.4 Cash Refunds Are Not Available Under This Section

Credits, not cash refunds, are the remedy for cancellations under this Section 3. Off Camber has already provisioned and paid for the Event Days, and we do not control the weather any more than you do. A credit keeps the value with you for the rebooked date.

4. Event Day Credits

Event Day credits:

  • are issued to the Organization's account, not to any individual Administrator
  • are valid for 12 months from the date of issue
  • apply to Event Days at the rate in effect when the credit is redeemed; if pricing has increased, the credit applies toward the new price
  • are not transferable to another Organization, have no cash value, and are not redeemable for cash
  • cannot be combined with a promotional code covering the same Event Days
  • are void if the Organization's account is terminated for breach of the Terms of Service

To redeem a credit, contact support@tracktimealerts.com before or during event creation, or apply it at checkout where the Platform supports that.

5. How Refunds Are Processed

5.1 Method

Approved cash refunds are issued to the original payment method. We cannot refund to a different card, account, or person.

5.2 Processing Fees

Approved cash refunds are issued less payment processing fees and any non-recoverable third-party transaction costs. Those amounts are retained by the payment processor and are not returned to us. Event Day credits are not subject to this deduction.

5.3 Taxes

Any sales or similar tax collected on a refunded purchase is refunded in proportion to the refunded amount, where the taxing authority permits.

5.4 Timing

Once approved, refunds are submitted within 5 business days and typically appear within 7–10 business days, depending on your financial institution.

5.5 Free Events and Promotional Codes

An event obtained at no charge — including a free first event or an event covered by a promotional code such as GRIDPASS — has no cash value and is not refundable. A cancelled free event does not generate a credit. Promotional codes are governed by Section 14.5 of the Terms of Service.

6. What Is Not Refundable

Refunds and credits will not be issued for:

  • requests submitted outside the windows and processes described above
  • failure to provide reasonable documentation when Section 3.3 requires it
  • an Event Day on which track activity began, regardless of how the day went
  • delayed, partial, or failed delivery of Alerts (see Section 7)
  • deciding not to use the Platform at an event you purchased Event Days for, or using it less than you expected
  • user error, including creating the wrong event, selecting the wrong dates, buying the wrong number of Event Days, misconfiguring a roster or schedule, or failing to publish a schedule
  • issues caused by a Driver's or Administrator's hardware, operating system, device settings, notification permissions, or internet or cellular connectivity
  • dissatisfaction with a feature that operates as documented
  • Beta Features, which are provided without charge and without commitment (Terms of Service, Section 15)

If you bought the wrong number of Event Days or created a duplicate event by mistake, tell us within 48 hours of purchase and before the event runs. We will usually fix it.

7. Alert Delivery Is Not a Basis for a Refund

7.1 Delivery Is Not Guaranteed

The Platform is designed to deliver Alerts promptly, but delivery cannot be guaranteed. As described in Section 4 of the Terms of Service, Alerts may be delayed, duplicated, or fail to arrive.

7.2 Causes

Delivery failures and delays may result from, among other things: internet, cellular, or venue network outages; congestion or lack of coverage at the track; outages or throttling at Apple Push Notification service, Firebase Cloud Messaging, or email providers; spam filtering; device notification permissions, Do Not Disturb or Focus modes, low-power modes, or a phone that is off or out of battery; an outdated or mistyped email address; an uninstalled or logged-out app; and information that was never entered into the Platform by the Organization.

7.3 Our Commitment

We will use commercially reasonable efforts to investigate and resolve delivery problems, and we want to hear about them — reports of undelivered Alerts are how we find real defects. But delivery variability is inherent to email and push messaging, and it is an accepted risk of using the Service. It does not by itself entitle you to a refund or credit.

7.4 Platform Outages We Caused

Separately from Section 7.3: if the Platform itself is materially unavailable for a substantial portion of an Event Day because of a failure on our side, contact us. We will issue an Event Day credit, or in our discretion a cash refund, for the affected Event Day. This is our entire obligation and your sole remedy for Platform unavailability.

8. Disputes and Chargebacks

8.1 Contact Us First

If you believe a charge was made in error, contact support@tracktimealerts.com before initiating a dispute with your financial institution. We respond to billing questions quickly and we would rather fix a mistake than fight a chargeback.

8.2 Chargebacks

Filing a chargeback without first contacting us is a breach of the Terms of Service. We may suspend or terminate the Organization's account, un-publish schedules, and stop broadcasts, including for an event in progress, and we may dispute the chargeback with records of your use of the Platform. We may also charge a reasonable fee to cover bank or processor costs arising from the chargeback, and recover our reasonable costs of collection.

8.3 Governing Law and Venue

This Policy is governed by the laws of the State of New York, and any dispute arising under it is subject to the venue, jury trial waiver, attorneys' fees, and time limit provisions in Section 24 of the Terms of Service.

9. Changes to This Policy

We may update this Policy. The current version is always posted at tracktimealerts.com/refund-and-cancellation-policy/ with a version number and effective date. For material changes we will give notice by email to the address on file for the Organization, by in-Platform notice, or both, and where practical at least 14 days in advance. The version of this Policy in effect when you purchased an Event Day governs that purchase.
