Privacy Policy

This Privacy Policy describes how Off Camber LLC ("Off Camber," "we," "us," or "our") collects, uses, stores, and protects information in connection with the Track Time Alerts platform (the "Platform"). This policy applies to both portions of the Platform:

  • Administrators / Event Coordinators
  • Drivers / Event Participants

By accessing or using the Platform, you agree to the practices described in this Privacy Policy.

1. Platform Roles and Responsibilities

Administrators / Event Coordinators

Administrators create and manage organizational accounts, configure events, enroll drivers or participants, and control event-level data. Administrators are responsible for the accuracy and appropriateness of any information they submit to the Platform.

Drivers / Event Participants

Drivers and participants do not independently create accounts. Access to the Platform is provided solely through enrollment by an Administrator using the driver's email address. Drivers who have been previously enrolled may be invited to future events and retain access to prior event data.

Our Role

Administrators determine what event and participant information is entered into the Platform and who may access it. Off Camber processes that information on the Organization's behalf and under its instructions, and for our own limited purposes of operating, securing, supporting, and improving the Platform. Where applicable data protection law uses the terms, the Organization acts as the controller (or business) for driver and participant data and Off Camber acts as the processor (or service provider). See Section 11 of the Terms of Service.

2. Information We Collect

A. Information Provided by Administrators

Administrators may provide:

  • Name, email address, and organization details
  • Event configuration and scheduling information
  • Driver or participant information (such as name, email address, car details, and event-related notes)
  • Event documents, photos, and files attached to messages (see Section 2.F)

All driver or participant information is provided at the Administrator's discretion.

B. Information Related to Drivers / Participants

Driver and participant information is supplied by the event Administrator. Drivers may optionally update:

  • Name
  • Phone number
  • Communication preferences (email and push notifications)
  • Profile photo and vehicle photo

C. Technical and Communication Data

To operate the Platform, we may collect:

  • Email addresses for notifications
  • Phone numbers, where a driver chooses to provide one as contact information (the Platform does not send text messages — see Section 4)
  • Push notification tokens (for example, Firebase Cloud Messaging tokens)
  • Authentication identifiers
  • System and diagnostic logs, which may include IP addresses or device identifiers depending on service configuration

The Platform does not collect precise location data or GPS information at this time.

D. Optional Photos

Drivers may optionally upload a profile photo and a vehicle photo through the mobile app. These images are visible to instructors or students paired with the driver during an event, and to Track Time Alerts support staff when they are helping with an account or an event. They are not shown to other drivers through the app. They are not published publicly unless the driver chooses to create a public share page that includes them (see Section 2.E), and the driver can leave them off that page. Photos are not required to use the Platform and can be removed at any time by the driver.

E. Public Driver Share Pages

A driver may publish a public page that shows their own schedule for one event, so that family, friends, or followers can see when they are on track.

  • Nothing is shared by default. No page is shared unless the driver turns sharing on for that event, and the page works only if the organization running the event also permits sharing for that event.
  • A driver can preview their own page from the app before sharing anything. The preview opens through a private link that works for about five minutes. While the link is valid, anyone who holds it can open it without signing in. The link is not sent to anyone, and the page is not listed by search engines. Previewing does not publish the page and does not create a shareable link.
  • The page is reached through a long, unguessable link, and anyone who holds the link can open it without signing in. A driver should share the link only with people they want to see it. The page is marked "noindex" so that search engines are asked not to list it.
  • A new page includes the driver's full profile, and the driver can restrict it at any time without changing the link. The driver controls seven items: profile photo, vehicle photo, last name, vehicle details, event statistics, instructor or student status, and the name of their run group. Whatever the driver does not hide is shown.
  • While a page exists it always shows the driver's first name, their car number (if one is assigned), the organization (club) running the event, the event name, date, and track, the event or organization logo (when one is set), and the session names, times, and locations. Hiding the run group hides its name only. The page still lists the driver's own sessions, and the run group's color is still shown.
  • If the driver is an instructor or a student, the page may say so as the driver's own role. The Platform does not add the name of any other person to the page. Session names, locations, and run group names are entered by the event's administrators and are shown as entered.
  • By default, the page stops working 48 hours after the end of the event's last day. A driver who wants to share on social media may instead choose to keep the page live indefinitely. An indefinite page stays reachable by anyone with the link until the driver stops sharing.
  • When a driver turns sharing off, that link, and every copy of it, stops working for good. If the driver turns sharing back on, a new and different link is created.
  • When a link is posted into a chat or social app, that app may display and store a preview of it. A preview can show the driver's first name, last name (if shown), car number (if assigned), club, and event name. It never shows a photo. Stopping sharing does not remove a preview that another app has already stored.

F. Event Documents and Message Attachments

Administrators may share files with the drivers of their events in two ways:

  • Event documents. Administrators may upload documents and images for an event, such as track maps, schedules, and waivers, up to 100 MB per event. Documents an administrator shares with the event's drivers are shown to its enrolled drivers, in the mobile app and in the driver portal.
  • Message attachments. Administrators may attach one file or photo to an announcement or urgent message, from the web or from the administrator mobile app. The file is delivered to the drivers the message is sent to.

When attaching a photo in the administrator mobile app, the administrator may choose one from the device's photo library or take one with the device's camera. The app asks for access to the photo library or the camera only when the administrator chooses that option, and it can be used without granting either. Photos attached to messages are converted before they are stored, and their embedded metadata, including any location (GPS) information, is removed.

A message attachment is reached through a long, unguessable link included in the message. Anyone who holds the link can open the file without signing in, so drivers should not forward it to people who should not see it. The link stops working at the end of the 180th day after the event's last day.

3. How We Use Information

Off Camber LLC uses information only to operate and support the Track Time Alerts Platform, including:

  • Creating and managing Administrator accounts and events
  • Enrolling drivers and participants
  • Delivering event-related notifications
  • Maintaining historical event data
  • Providing customer support
  • Ensuring system security, reliability, and performance
  • Displaying optional driver-uploaded photos to paired instructors or students during events, and to our support staff when helping with an account or event
  • Publishing a driver's public share page, and only when the driver has chosen to create one (see Section 2.E)
  • Delivering event documents and message attachments to the drivers an administrator shares them with (see Section 2.F)

We do not use personal information for advertising, marketing, or behavioral profiling.

4. Communications and Consent

The Platform communicates by email and by push notification only. It does not send SMS or text messages.

  • Email notifications are sent once a driver is enrolled in an event. These are transactional messages about the event and the account, not marketing.
  • Push notifications require installing a mobile app and granting notification permission on the device. That permission is opt-in and can be revoked at any time in device settings.
  • Drivers may change their notification preferences at any time.
  • Communication preferences do not affect access to core Platform features.
  • A phone number stored on a driver profile is used only as contact information within the event. It is not used to send text messages, and it is not sold, shared for marketing, or used for advertising.

5. Third-Party Services and Infrastructure

The Platform relies on third-party service providers solely to support core functionality such as authentication, message delivery (email and push notifications), infrastructure hosting, logging, monitoring, and payment processing.

These service providers:

  • Process information only on behalf of Off Camber LLC
  • Are contractually restricted from using personal information for their own purposes
  • Do not sell, market, or independently exploit personal information

Off Camber LLC does not share personal information with third parties for advertising, analytics-based marketing, or tracking purposes.

6. Payments

Payments are required when an Administrator creates a paid event. Payment information is processed by third-party payment processors. Off Camber LLC does not store full payment card details.

7. No Advertising or Tracking

The Platform:

  • Does not display advertising
  • Does not sell user data
  • Does not use third-party tracking mechanisms for advertising or cross-application tracking

Any future analytics tools will be used solely to improve Platform performance and reliability.

8. Future Integrations

If Track Time Alerts integrates with additional third-party services in the future:

  • Users will be notified in advance
  • Any sharing of personal information will be opt-in
  • Users will have the opportunity to decline participation

9. Data Retention

At this time, the Platform retains event and notification data indefinitely. As the Platform matures, Off Camber LLC may implement retention limits (for example, deleting old notifications or historical event details after a defined period).

Data is retained only as long as reasonably necessary to operate the Platform, comply with legal obligations, and resolve disputes.

Drivers may delete their uploaded photos at any time through the mobile app. Deleted photos are removed from the Platform and are no longer displayed to other participants or on a driver's public share page. A driver's public share page itself is available only for the period described in Section 2.E; that period governs the page's availability and does not change how long we retain the underlying event data.

Event documents and message attachments are kept for the life of the event, and are deleted when the event is deleted. Administrators may remove documents earlier. A message attachment link stops working at the time described in Section 2.F, whether or not the file is still stored.

10. Security

We implement reasonable administrative, technical, and organizational safeguards to protect personal information. However, no system can be guaranteed to be completely secure.

11. Children and Age Requirements

Administrators and Event Coordinators must be at least 18 years old. A driver or participant under 18 may use the Platform only with the consent and supervision of a parent or legal guardian, and the enrolling Administrator is responsible for having obtained that consent before submitting the participant's information to us. See Section 5 of the Terms of Service.

The Platform is not directed to children under 13, and we do not knowingly collect personal information from children under 13. If we learn that we have collected such information without the required consent, we will delete it.

12. Your Rights and Choices

Depending on your jurisdiction, you may have the right to:

  • Access your personal information
  • Request corrections
  • Request deletion, subject to operational or legal constraints
  • Opt out of optional communications

Requests may be submitted through the Platform or by contacting us directly.

13. Changes to This Privacy Policy

We may update this Privacy Policy from time to time. Updates will be posted within the Platform or on our website. Continued use of the Platform constitutes acceptance of the revised policy.
